Send an e-signature request

Use Lexkeep to send a PDF document for electronic signature. You can add one or more signers, set signing options, place signature fields on the document, and send the request directly to each signer.

Before sending, make sure you are using the correct and final PDF version. The signature request applies to the document you select, so changes should be completed before you send it for signing.

Before you begin

To send an e-signature request:

  • The document must be a PDF.
  • You must have access to the document in Lexkeep.
  • You need the signer’s full name and email address.
  • You should review the document to confirm that it is ready for signature.

If the document requires signatures from more than one person, prepare the names, email addresses, and signing order before creating the request.

Send a signature request

  1. In the left sidebar, select Documents.
  2. Locate the PDF document you want to send for signature.
  3. On the document card, select the file storage icon.
  4. From the drop-down menu, select Request Signature.
  5. Complete the signature-request form:
    • Title: Enter a clear title for the request.
    • Message: Add an optional message for the signer, such as signing instructions or a deadline reminder.
    • Expiry: Set an expiry date and time, where required.
    • Participants: Enter the signer’s full name and email address.
    • Role: Confirm that the participant is assigned the Signer role.
    • Delivery method: Select Email link where applicable.
  6. To add another signer, select Add signer and enter their details.
  7. Select the signer from the signer list.
  8. Select the type of field you want to add, such as Signature.
  9. Click on the PDF to place the field in the correct location. You can drag an existing field to reposition it.
  10. Repeat this process for every signer and each field they must complete.
  11. Review the request and confirm that each required field is assigned to the correct signer.
  12. Select Save & Send.

Lexkeep sends the signature request to the signer using the selected delivery method.

Configure signing options

Depending on the document and workflow, you can also choose from the following options:

  • Enforce signing order: Require signers to complete the document in the order you set.
  • Allow decline: Allow a signer to decline the request.
  • Require electronic consent checkbox: Require signers to confirm electronic consent before signing.
  • Anchor completed signature record on blockchain: Create a blockchain-backed integrity reference for the completed signature record.

Use these options according to the document’s purpose, the required approval process, and your organization’s policies.

Before sending

Check the following carefully:

  • The correct PDF is attached.
  • All signers have been added.
  • Signer names and email addresses are correct.
  • Each signature field is assigned to the intended signer.
  • Required fields are marked as required.
  • The signing order and expiry date are appropriate.
  • The title and message give the signer enough context.
