Lexkeep helps legal, compliance, and enterprise teams manage sensitive records in a controlled, traceable environment. Use it to store files, organize work by matter or case, collaborate securely, and support record integrity over time.

Before you begin

To get started, you need:

  • A Lexkeep account
  • Access to a cohort
  • Permission to upload files or manage cohort settings, where applicable

Available features may depend on your assigned role and cohort configuration.

1. Access your cohort

Sign in to Lexkeep and select the cohort you want to work in.

A cohort is a controlled environment where your organization manages its files, users, permissions, and recordkeeping workflows. Your organization may use separate cohorts for different teams, clients, matters, departments, or projects.

2. Create or open a matter

Use matters or case-based areas to keep related files, activity, and collaboration together.

For example, you may create a matter for:

  • A client engagement
  • An internal investigation
  • A regulatory response
  • A contract or transaction
  • A board or governance project
  • An evidence-review exercise

Use clear, consistent names so authorized users can find records quickly.

3. Upload your first file

Open the relevant cohort or matter, then upload the file you want to manage.

Lexkeep can be used for documents and other high-value records, including:

  • Contracts and signed agreements
  • Policies and approvals
  • Evidence bundles
  • Audio and video files
  • Investigation materials
  • Governance records
  • Intellectual-property creation records

After upload, confirm that the file name, version, and location are correct.

4. Organize files clearly

Use a consistent structure to make records easier to retrieve and review later. Consider organizing files by:

  • Matter or project
  • Document type
  • Date
  • Status, such as draft, approved, executed, or archived
  • Confidentiality level

Good organization supports efficient work and helps preserve the context surrounding important records.

5. Set access permissions

Give users access only to the files and matters they need for their role.

Depending on your cohort setup, permissions may allow users to view, upload, edit, share, manage files, or administer cohort settings. Review access regularly, especially when a matter closes or a team member’s responsibilities change.

6. Review file activity and versions

For important records, review the file’s activity history and version information. This can help you understand:

  • Who uploaded a file
  • When it was added
  • Whether a newer version exists
  • Who accessed or shared it
  • How the file moved through the workflow

For records that may later be reviewed in a dispute, audit, investigation, or regulatory process, maintaining this context is as important as retaining the file itself.

7. Use sharing controls when collaborating

When you need to send a file outside your organization, use Lexkeep’s controlled sharing tools rather than unmanaged email attachments or public links.

Before sharing, check:

  • The recipient
  • The file version
  • Whether the file contains confidential or personal information
  • Whether sharing should be limited in time or withdrawn later

8. Preserve and verify important records

For high-trust records, Lexkeep supports workflows designed to strengthen preservation, traceability, and integrity verification.

As your workflow requires, you can:

  • Use version control to identify the authoritative record
  • Apply preservation-oriented storage controls
  • Review audit activity
  • Anchor a file’s cryptographic integrity reference on blockchain
  • Verify whether a file matches its recorded integrity reference
